Policies for Purchase Requests from Departments and Institutes

According to the resolution reached on October 26, 1999, at the 2126th NTU Administration Meeting, all departments and institutes must remit at least NT$100,000 to the Library for purchasing library materials. To fulfill its responsibility of enhancing teaching and research resources, the Library has made collecting, sorting, and providing resources to its patrons as its primary tasks. The Library, hence, would like to extend its heartfelt appreciation to all departments and institutes for supporting the Library’s collections and enhancing its resources.

In order to ensure funds are allocated in accordance with the abovementioned resolution, the Library offers the following services:

Duplicate Control: After receiving the draft requests of book titles from the department or institute, the subject librarian will check the library catalog to verify whether materials requested are not in the Library’s collections or already on order. This will help to avoid purchasing duplicates and more efficiently allocate the Library’s budget.
Library Purchasing Services and Reports: The Library’s Acquisitions and Cataloging Division is responsible for handling book purchases locally and abroad. The acquisitions control system is integrated with the Library’s public information services system. Any item placed on order by the Acquisitions and Cataloging Division can be checked on the Library’s website for its status . The Acquisitions and Cataloging Division also provides services where departments and institutes can check the status of library materials they requested.
Budget Control Services and Reports: For the funds allocated by departments and institutes into the Library’s budget, the Acquisitions and Cataloging Division is responsible for any process necessary for ordering, purchasing and reimbursement. For budget control purposes, besides providing the estimated prices for all library orders placed, the Acquisitions and Cataloging Division will give an annual budget report concerning the expenditure by each department or institute at the end of the fiscal year. Current status of budget expenditures is also available for inquiry on the Library’s website.
Instant Ordering Services: The Library will gather and display newly published books it deems suitable from which faculty may choose to add to the Library’s collections. They may also refer for purchase titles currently available in Taiwan, in which case, the subject librarian must be contacted. The title may be ordered immediately after ensuring it is not a duplicate.
